How to handle 200+ buyer enquiries without losing your mind

What to expect: the first 48 hours after listing
Post a well-priced Altbau in Prenzlauer Berg on a Thursday evening and you will have between 60 and 200 enquiries by Saturday morning. This is not an exaggeration — it is the current reality in Berlin's sub-1% vacancy market. Private sellers who are not prepared for this volume make two characteristic mistakes: they respond to everyone (burning days on tyre-kickers) or they respond to no one promptly (losing serious buyers to the next listing).
The goal is not to answer every message. The goal is to identify the six to twelve people worth inviting to a viewing and spend your time exclusively on them.
Red flags in buyer messages
Not every enquiry is from a buyer. Some patterns to watch for:
- No name, no address, no personal detail — "I'm interested, please send more info" is a copy-paste from someone messaging twenty listings simultaneously
- Immediate price negotiation before any viewing — a serious buyer visits before they negotiate; someone opening with "would you accept €X less?" is not yet committed
- Vague financing language — "I'm pre-approved, roughly" or "my bank will finance it" without specifics. A serious buyer at offer stage knows their maximum, their deposit, and their lender
- Requests for information already in the listing — usually signals they haven't read your listing carefully, which predicts the same lack of attention through a deal
None of these is a hard disqualification, but each is a signal to move that person to the back of the viewing queue until you've exhausted more promising leads.
